Call Organization with Folders

Momentum’s folder system helps you organize your calls, recordings, and snippets into logical collections. Whether you’re organizing by project, client, team, or any other structure that works for you, folders provide a flexible way to keep your content organized and easily accessible. Keep your Call Library aligned with the way your team works by building folder structures that mirror your customer journeys or internal processes. Nested folders help you stay organized no matter how fast your library grows.

Key Capabilities

  • Hierarchical Organization: Create sub-folders inside any folder to group recordings by customer, region, team, or project.
  • Multi-Folder Assignment: Add calls to multiple folders simultaneously for cross-project visibility.
  • Flexible Management: Drag and drop folders to rearrange hierarchies so you can move an entire customer folder under a new parent without touching every call.
  • Comprehensive Storage: Store everything in one place—folders, call recordings, and snippets. Item counts include nested folders so you always know what lives inside.
  • Effortless Navigation: Navigate effortlessly with breadcrumbs. The header trail shows exactly where you are and lets you jump back up a level in one click.
  • Team Alignment: Keep everyone aligned. Folder breadcrumbs, search results, and organization are shared, so teammates see the same structure you do.
  • Search & Filter: Filter calls by specific folders to quickly find relevant content.

Getting Started

Creating Your First Folders

  1. Open the Calls → Folders tab.
  2. Click New Folder to create your top-level folders.
  3. Choose a descriptive name that reflects the folder’s purpose.
  4. Open any folder and use New Folder again to create sub-folders.

Organizing Your Structure

  1. Drag and Drop: Drag a folder into another folder to nest it, or click More → Move to choose the destination from a list.
  2. Navigation: Use the sidebar or breadcrumb trail to move between levels. Searching within a folder focuses on the current level—clear the search to see everything again.

Adding Calls to Folders

  • From Call Details: When viewing a specific call, use the action menu to Manage Folders
  • Multiple Folders: Add the same call to multiple folders for cross-project visibility
  • Folder Management Modal: Select one or more folders where you want to add the call

Managing Folder Content

Moving Folders and Content

  • Individual Folders: Select any folder and use the move action to relocate it within your hierarchy
  • Snippet Management: Move clips between folders independently of their parent calls
  • Validation: The system prevents moving folders into their own children to avoid circular references

Best Practices and Tips

Organizational Strategy

  • Purpose-Driven Structure: Organize folders around how you actually work
  • Consistent Naming: Use clear, consistent naming conventions like “Client - Project” or “Team - Quarter”
  • Balanced Depth: While unlimited nesting is supported, keep your structure to 2-3 levels deep for optimal usability
  • Regular Maintenance: Periodically review and reorganize as your needs evolve

Folder Management

  • Rename or Delete: Access folder options from the More menu. Deleting a folder removes any sub-folders and snippets it contains, but the underlying calls stay in the Call Library.
  • Break Down Clutter: If a folder feels cluttered, break it down by creating sub-folders and moving items into them.
  • Breadcrumb Navigation: Breadcrumbs always start with All folders—click it to jump back to the top level.
  • Search Functionality: Use the search box in folder pickers to quickly find specific folders in large hierarchies.

Multi-Folder Strategy

  • Cross-Project Calls: Add calls to multiple folders when they serve multiple purposes
  • Topic Tagging: Use folders as topic tags for better discoverability
  • Team Sharing: Share relevant calls across team folders
  • Archive Strategy: Create archive folders for completed projects
